Full-time (contract-to-hire option). Reports to the CEO. An operations generalist who owns the back office end to end — vendor and procurement management, AP/AR finance operations, people operations, and renewals coordination — and runs it on AI so leadership and delivery stay focused on customers and security. What you will own- Vendor & procurement management: Be the single owner of every vendor relationship (accounts, contracts, renewals, billing, portal access). Run monthly check-ins so nothing lapses and no account is a mystery.- AP/AR and finance operations: Own invoice intake and payment, AP/AR aging, and expense categorization; coordinate payroll data and administer bank and insurance portals. Execute under fractional finance oversight (not the CFO role).- People operations: Run onboarding/offboarding, access provisioning/deprovisioning, PTO and benefits administration, and maintain clean HR records.- Renewals and customer-ops coordination: Own the renewal calendar and QBR logistics; support renewal quote prep for the Member Experience team.- Procurement and reseller relationships: Manage distributor and reseller accounts and license provisioning; keep account paperwork current.- A clean system of record: Keep vendor, contract, and renewal data organized and current in HubSpot and finance systems.- No surprises: Nothing gets shut off, no renewal is missed, no invoice is a mystery, and leaders don’t hear about account problems from vendors first. Run ops on AI (this is the difference)Cyvatar runs on an AI operating model. With Claude and internal tooling you will prep vendor check-ins, reconcile and summarize invoices and AP/AR, build and maintain the renewal calendar, draft vendor and internal emails, and produce weekly ops reporting. You’ll also improve the tooling over time (tighten prompts, add verification, close gaps) and know where AI accelerates work versus where a human must decide. What great looks like in your first year- Vendors are managed, not chased; every account has an owner, renewal date, and monthly check-in.- AP/AR is clean and current; invoices paid on time and no mystery balances.- Renewals never slip because the calendar and prep stay ahead of dates.- Onboarding and offboarding are smooth with clean access control.- You operate AI-first and improve the tooling when it falls short. What we are looking forMust-haves: 3+ years in operations/vendor/procurement/finance ops/business ops; hands-on AP/AR or bookkeeping familiarity and basic HR/people-ops; genuine AI fluency using Claude or similar; exceptional organization and follow-through; clear, direct communication; strong attention to detail.Nice-to-haves: Experience with HubSpot, Rippling, Maxio, or QuickBooks; contract and vendor-management (including reseller/distributor); MSP or B2B SaaS background; SOC 2 or compliance awareness; experience building automations/workflows (HubSpot, Zapier, scripting, LLM-driven).
